COLLECTION OF PERSONAL INFORMATION
When you engage in activities on our website or with our staff, like booking trips, requesting brochures, or subscribing to newsletters and email publications, Maple Leaf may ask you to provide us with personal information, such as your name and email address.
Personal information may be collected in a number of ways, including: in person, over the phone, by mail, by email, by fax, over the Internet (via our website or social media channels, such as Facebook, Twitter, Google, and Instagram), and from third parties, such as travel agents or family members, who you have authorized to disclose personal information to us.
As a traveller or potential traveller with Maple Leaf, you may be required to provide us with your personal information together with the personal information of those for whom you may be booking trips, including name, date of birth, address, phone number, email address, credit card details, dietary restrictions, personal health information, and medication information. As a travel agent, you may be required to provide us with your personal information, including your name, agency information, address, phone number, and email address as well as with the personal information set forth above pertaining to the travellers or potential travellers who you represent.
HOW WE USE YOUR INFORMATION
Any information collected will be used only by Maple Leaf to give you what you have requested (such as a brochure), improve our trips, services and website, or to communicate with you in the form of newsletters and notices if you give us permission to do so. Maple Leaf uses information and/or email addresses for internal purposes only and does not sell, lease or rent information to third parties.
Buying a Trip
Information we ask you to provide when purchasing or ordering will be only the information necessary to process your purchase or order. When fulfilling an order, we will ask for your name, email address, address (for mailing purposes), telephone number and credit card number, type and expiration date (if paying by credit card). We will use this information only for matters related to your order or product registration unless you request otherwise.
To complete the booking of your trip, we will ask you to fill out a guest questionnaire. We will use this information only so that we may get you help in an emergency, arrange your entry into the United States or Canada on an international tour (such as an Alaska trip), and to personalize and/or improve the service we provide to you.
Maple Leaf Newsletter and Information List Memberships
When you consent to receive brochures or newsletters, Maple Leaf may use information it has collected to provide you with mailed or emailed notices according to the preferences that you indicate to us. This may include notice in the form of newsletters, website update notices, notification of the availability of new trips or updates as well as information on promotions and special offers. You can elect to not receive any further notices from Maple Leaf, either by 1) unsubscribing directly to any email you receive, or 2) by calling our office.
Maple Leaf may profile website activity and compile data in aggregate form in order to better understand user activities and the success of our materials. This information is important to us as it enables us to continue to provide experiences specific to our customers’ interests. Site visitor behavior information is compiled in aggregate and does not represent individually identifiable information.
DISCLOSING PERSONAL INFORMATION
Maple Leaf may hire certain outside contractors to perform services or functions on our behalf (such as customs brokering for our Alaska trips). We will only provide those companies the personal information they need to complete the desired service. They are not permitted to use customer information for any other purpose and are obligated to keep your customer information confidential.
Information submitted to Maple Leaf may be transferred across national boundaries to or from our staff/partners in other countries. Maple Leaf will only disclose information if required to do so by law, legal process or if in good faith it is deemed necessary for the public interest.
RETAINING PERSONAL INFORMATION
We retain personal data in accordance with applicable law, only as long as necessary to fulfill the identified purposes or a legal or business purpose.
SECURITY OF YOUR PERSONAL INFORMATION
Maple Leaf takes the protection of the personal information you provide very seriously. All personal information is stored in secure databases at secure addresses to prevent unauthorized access. Passwords, encryption devices and firewalls that are on par with the industry standard are used to protect these databases. Please note, however, that no data transmission over the Internet can be guaranteed to be 100% secure and, as a result, we cannot ensure the security of information you transmit to us over the Internet.
